These Terms of Service ("Terms") form a binding agreement between you and FlowEmployee. By creating an account or using the service you agree to be bound by these Terms.
1. User Responsibilities
- You confirm you are at least 18 years old and able to enter into a binding contract.
- You are responsible for keeping your account credentials safe and for all activity under your account.
- You will provide accurate business information (name, services, hours, prices) so the AI can respond truthfully on your behalf.
- You will not use FlowEmployee to send spam, harass customers, or generate content that is illegal, infringing, or harmful.
- You agree to comply with all applicable laws when collecting customer data (booking info, addresses, etc.) and to honour customers' privacy rights.
2. The Service
FlowEmployee provides an AI-powered web receptionist that answers customer questions, books appointments, and follows up via email on your behalf. Features and limits depend on your active plan. We continuously improve the service and may add, change, or remove features.
3. Subscriptions & Credit Rules
- New accounts receive a 7-day free trial with 100 included credits.
- Paid plans (Starter / Growth / Elite) grant a monthly credit allocation that resets every 30 days.
- Unused subscription credits roll over up to 50% of your monthly plan for one extra cycle, then expire.
- Top-up credits never expire and are consumed last, after trial and subscription credits.
- Credits are consumed for: AI conversation sessions, booking creation, reminders, follow-ups, and review requests. The full price list is shown in your Billing page.
- Credits have no cash value and are non-transferable between accounts.
4. Payment & Refund Policy
- Payments are processed by Flutterwave. By subscribing, you authorise recurring charges in your chosen currency and cycle (monthly or yearly).
- You may cancel your subscription at any time from the Billing page. Cancellation takes effect at the end of the current billing period — you retain access until then.
- Subscription fees are non-refundable once a billing period has started, except where required by law.
- Top-up purchases are non-refundable once credits have been allocated to your account.
- If a payment is reversed or charged back, we reserve the right to suspend service and reverse the corresponding credit allocation.
5. Account Suspension
We may suspend or terminate your account if you:
- Breach these Terms or our Acceptable Use rules
- Fail to pay subscription fees after notice
- Engage in fraudulent payment behaviour or chargeback abuse
- Use FlowEmployee to send unlawful, deceptive, or harassing content
- Attempt to reverse-engineer, scrape, or overload our infrastructure
Where reasonable, we will give you notice and the chance to fix the issue before suspending.
6. Intellectual Property
FlowEmployee, its branding, software, and documentation remain our property. You retain ownership of your business data, customer data, and the content of your conversations. You grant us a limited licence to process this data solely to operate the service.
7. Limitation of Liability
The service is provided "as is" without warranties of any kind. To the maximum extent permitted by law, FlowEmployee is not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost bookings, lost data, or reputational harm arising from your use of the service.
Our total liability for any claim related to FlowEmployee is capped at the amount you paid us in the 12 months preceding the event that gave rise to the claim.
You acknowledge that the AI may occasionally produce incorrect or inappropriate output. You are responsible for reviewing bookings and customer communications.
8. Changes to these Terms
We may update these Terms from time to time. Continued use of the service after a change indicates your acceptance of the new Terms. Material changes will be announced via email or in-app notice at least 14 days in advance.
9. Governing Law
These Terms are governed by the laws of your country of residence unless local mandatory consumer protection rules apply differently. Disputes will be resolved in good faith before any court action.
